Privacy Policy

Topic Engine is operated by CHRD Innovation Pvt. Ltd. ("we", "us"). This policy explains what information we collect when you register for or help organize an academic event through this platform — including on behalf of one of the colleges and universities ("client institutions") that use Topic Engine to run their own events — how we use it, and the choices you have.

What we collect

When you register for an event we collect your name, institution, email address, phone number, registration category, and — for paper presenters — your paper title, co-authors, sub-theme and abstract. If you pay a registration fee online, our payment partner Razorpay processes your card, UPI, or net-banking details directly; we receive a payment confirmation and reference ID, never your full card or bank details. If you check in at an event, we record which sessions you attended. If we issue you a certificate, we record your name, role, and the certificate's unique ID.

How we use it

We use this information to process your registration and payment, confirm your attendance, issue and verify certificates, communicate with you about the event (by email and, where you've opted in, WhatsApp), and compile the participation and feedback records our host institutions use for their own NAAC/IQAC documentation. We do not sell your personal data.

Where it's stored

Registration, attendance and certificate records are stored in Google Firebase (Cloud Firestore), hosted in the Mumbai (asia-south1) region where available. Payment processing is handled by Razorpay under its own privacy policy and PCI-DSS compliance program.

Who can see it

Your registration details are visible to the organizing committee and event staff (registration desk, finance, volunteers) for the specific event you registered for — which belongs to one client institution's own workspace on the platform and is not visible to other client institutions — and to CHRD Innovation Pvt. Ltd. as the platform operator. Certificate records are intentionally public in a limited way — anyone with a certificate's ID or QR code can verify the recipient's name, certificate type, event and date on our public verification page, so certificates remain checkable by employers, universities, or accreditation bodies.

How long we keep it

We retain registration and attendance records for as long as needed to support the host institution's accreditation and audit requirements, typically the institution's NAAC accreditation cycle. Certificate verification records are retained indefinitely so certificates remain checkable in future.

Your choices

You can ask us to correct inaccurate registration details, or to remove your entry from a public-facing testimonial or feedback summary, by writing to us using the contact details below. Because certificates function as an official record once issued, we generally cannot delete a certificate's verification entry, but we can add a correction note if details were recorded in error.
