Event Execution Playbook

The same three phases, broken down into what actually happens.

This is our real working SOP — the exact steps, run sheet and duty cards our coordinators use, not a generic guide. The full text is personalizable with your event details in the SOP & Formats Library ↓ (Formats E).

✓ Do

  • Maintain strict time discipline for every session — the run sheet is a commitment, not a suggestion.
  • Capture photographic and video evidence at every major stage, especially the inaugural and valedictory.
  • Record attendance category-wise — students, faculty, research scholars — from the start.
  • Collect feedback before the valedictory session, not after.
  • Take the group photograph — it's mandatory NAAC evidence.
  • Test every piece of equipment — mic, projector, internet — before the session begins.
  • Keep a backup: spare laptop, mic batteries, and an internet hotspot on hand.
  • Get written approval before starting any further activity.
  • Brief volunteers and issue duty cards at least a day before the event.
  • Verify against the NAAC Evidence Checklist before you archive the file.

✗ Don't

  • Don't leave a duty station (registration, help desk) without an approved replacement.
  • Don't let stage volunteers talk or move around near the podium during a session.
  • Don't miss photographing the inaugural or valedictory session — it can't be recreated later.
  • Don't let certificate names or order get mismatched at distribution.
  • Don't let registration or refreshment queues overcrowd — manage the flow proactively.
  • Don't start the next session before the resource person or session chair is actually in place.
  • Don't finalize the post-seminar report before feedback analysis and financial closure are both done.

13-step procedure

From proposal to rehearsal — the sequence our Pre-Seminar SOP is built around.
Step 1 — Seminar Proposal & ApprovalCollegePre+

Draft title, theme, rationale, objectives, target participants, tentative date/venue/mode, proposed resource persons and a budget estimate. Submit to HoD / IQAC / Principal and obtain written approval before anything else begins.

Step 2 — Date, Venue & ModeCollegePre+

Finalize the date after checking the academic calendar. Choose the venue on seating capacity, accessibility and AV/ICT readiness. Fix offline, online or hybrid mode.

Step 3 — Theme & Sub-ThemesTopic EnginePre+

Align the main theme with curriculum, emerging research and NAAC benchmarks. Define sub-themes to guide technical sessions, paper presentations and panels.

Step 4 — Objectives & Expected OutcomesTopic EnginePre+

State measurable outcomes: expected participant numbers, feedback quality, and research or academic impact.

Step 5 — Budget Planning & ApprovalCollegePre+

Prepare a head-wise estimate — honorarium and TA/DA, printing, publicity, documentation and NAAC filing, contingency — and obtain formal budget sanction.

Step 6 — Committee ConstitutionCollegePre+

Constitute the Organizing, Academic/Technical and Logistics committees, plus a dedicated IQAC committee for the seminar. Issue a formal committee order with defined roles.

From venue setup to the final review — our Event-Day SOP.

Stage layout, podium, seating and signage. Install and test all AV equipment. Set up the registration/help desk. Display stage backdrop, banners and standees.

Lock exact session timings — inaugural, keynote, expert address, breaks, technical sessions, valedictory — and display them on a stage runtime slide with speaker names and session titles.

Principal / Patron — Inaugural Address (Sl 6, 10 min)CollegeEvent Day+

Duty: Delivers the Inaugural address as presiding dignitary, immediately after the welcome note and theme introduction.
Protocol: Received and briefed on arrival like every dignitary — schedule, session flow, time allocation (Sl 3). Seated at the centre of the dais as presiding officer. (Suggested) Escort volunteers keep this address moving with zero delay — it's the only item standing between the welcome and the 10:30 keynote start, so any slippage here cascades through the whole morning.

Keynote Speaker — Keynote Address (Sl 8, 45 min) + Q&A (Sl 9)RPEvent Day+

Duty: Delivers the day's keynote, then takes audience questions moderated by the Session Chair.
Protocol: Escorted to the venue and briefed on schedule and time allocation before taking the dais (Sl 3). Name placard and the printed speaker-sequence list are at the podium as part of the Stage Kit; a bell or cue card signals remaining time so the 45-minute slot holds. (Suggested) Felicitated with a memento immediately after the Q&A closes, rather than deferring every speaker's felicitation to the general valedictory.

Resource Person — Expert Lecture / Special Address (Sl 11, 50 min) + Interaction (Sl 12)RPEvent Day+

Duty: Delivers the Expert Lecture / Special Address, then a Session-Chair-moderated interaction — the last item before lunch.
Protocol: Same reception and escort protocol as the keynote speaker (Sl 3). (Suggested) Briefed explicitly that overrunning this slot pushes lunch back for the whole hall, so punctuality is flagged in the pre-session briefing, not left implicit. Introduced with a short spoken bio by the Session Chair, and thanked/felicitated when this session closes rather than at the general valedictory.

Session Chair — Q&A, Interaction & both Technical Sessions (Sl 9, 12, 14, 16)RPEvent Day+

Duty: The busiest resource-person role of the day — moderates the keynote Q&A, the expert-lecture interaction, and chairs both Technical Session I and II.
Protocol: Ensures proper session allocation, presentation-timing control and equipment readiness for each paper presenter, and maintains a presenter record for certification. Moderates every Q&A and open discussion professionally. (Suggested) Holds the printed program schedule and a timer/cue card for each block; opens every technical session by restating the sub-theme and per-presenter time limit; flags an overrunning presenter to the stage-assistance volunteer rather than interrupting mid-sentence.

Chief Guest — Valedictory Address (Sl 19, 10 min)CollegeEvent Day+

Duty: Delivers the Valedictory address as the closing session's presiding dignitary, immediately before certificate/memento distribution.
Protocol: Received and briefed on arrival like every dignitary (Sl 3) — timed to the afternoon rather than the 8:30 AM committee call. (Suggested) Seated in the reserved front-row dais position for the closing session; introduced by the Organizing Secretary; presented with the memento/bouquet as part of the certificate-distribution sequence (Sl 20) before the vote of thanks; escorted out after the group photograph.

Steps marked (Suggested) reflect standard academic-event convention — seating precedence, felicitation timing — rather than text taken directly from our SOPs. Adjust freely to match your institution's own protocol.
